1. General provisions

This Privacy Policy explains how Gala Academy collects and processes personal data through the website, in accordance with the Law of the Republic of Azerbaijan on Personal Data.

2. What data we collect

• Name, date of birth, email, phone number, city
• Education level and work experience
• Application text and motivation
• During study: attendance, exam results, assignment work
• During the internship: supervisor assessment and references
• IP address, browser and device information

3. Why we process data

• To review your application and get in touch
• To run the education process
• To issue a diploma and confirm its authenticity
• To refer you to employers
• To meet obligations required by law

4. Diploma verification — important note

Once you receive a diploma, your name, course, exam results, internship record and references may be publicly visible via the diploma code. This is the core value of the diploma — an employer can verify it is genuine.

You keep control over what is shown: exam results, internship and references can each be hidden. On written request we will hide any section or close the verification page entirely.

Diploma codes contain random characters — guessing sequential codes to see someone else’s record is not possible. Every verification is logged.

5. Who we share with

• Internship company — your name and contact details during the internship
• Employers — only with your consent, in the form of a referral
• Gala Group companies — when a vacancy exists

We do not sell your data or pass it to third parties for marketing.

6. Retention

Rejected applications are kept for 2 years. Student and graduate records are kept indefinitely so diploma validity can be confirmed.

7. Your rights

• Access the data we hold about you
• Request correction of inaccurate data
• Limit what appears on your diploma page
• Request deletion of your data
• Withdraw your consent
